Privacy notice

What we do with your personal information, in plain language. Last updated 11 October 2026.

Who we are

The data controller for this website is Movement Matters Hub Ltd, company number 16860455, registered in England & Wales. Registered office: 7 Farmfield Grove, Wirral, CH46 9AL.

Our sister organisation, Movement Matters Community CIC (company number 16847307, same address), shares this website. If you contact us about community programmes, we may pass your enquiry to the CIC so the right team can reply.

What we collect and why

The only form on the site is the enquiry form on our contact page. It asks for:

  • your name (required)
  • your email address (required)
  • your phone number (optional)
  • your organisation or school (optional)
  • the type of enquiry you pick from a list (optional)
  • your message (optional)

We use this to reply to you, to quote for and arrange sessions, training or partnerships, and to keep a record of what was discussed. Our legal basis is legitimate interests (answering the people who contact us), or taking steps at your request before a contract. Please do not put sensitive information, such as health details about a child, in the message box. We will ask for anything like that separately and securely if it is needed.

You can also email or phone us directly. We then hold whatever you choose to tell us.

Where it goes

When you send the form, your details are passed on in these ways:

  • A Google Sheet we control. Every enquiry is added as a row in a spreadsheet in our Google account, through a Google Apps Script.
  • Our own automation server. Enquiries other than school bookings are also sent through our website host to an automation tool (n8n) running on a machine we control. It emails the enquiry to our Google Workspace inbox, sends us an alert message, and logs it in a spreadsheet we control.
  • An AI assistant that drafts a reply. The automation may use an AI assistant to write a first draft reply. A person reads and approves every reply before it is sent. Nothing is sent to you automatically by the AI.

We do not sell your data or use it for third-party marketing. Our service providers (Google, Netlify and the AI assistant provider) process it for us only to run these services. Some of them are based outside the UK, in which case they rely on approved safeguards such as the UK-US data bridge or standard contract clauses (to confirm with Chris: provider names and transfer mechanisms).

Analytics and cookies

We use Google Analytics 4 on every page. Google sets cookies in your browser to count visits, see which pages are read, how people reach the site and roughly where in the world they are, so we can improve the site. This is reported to us as totals and trends, not as named individuals.

You can block or delete cookies in your browser settings, or use a browser extension that blocks analytics. The site works the same without them.

Our hosting provider, Netlify, keeps server logs (including IP addresses) to run and secure the site. These are kept for a short period.

The footer of our home page includes an embedded Google Map. Google may set cookies if you interact with the map. Other pages only link out to Google Maps. Our videos are hosted on this site, with no third-party video player.

How long we keep it

We keep enquiries for as long as we need to respond, and for up to 24 months after our last contact with you. If a booking or contract follows, we keep the records for as long as the contract and our legal and accounting duties require (to confirm with Chris: the 24 month period). After that we delete them.

Your rights

Under UK GDPR you can ask us to:

  • give you a copy of the information we hold about you (access)
  • correct anything that is wrong (rectification)
  • delete it (erasure)
  • limit how we use it (restriction)
  • stop using it where we rely on legitimate interests (objection)
  • give it to you in a portable format (portability)

Email movementmattershub@gmail.com and we will reply within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Children

This website is for parents, schools and other adults. We do not knowingly collect personal information from children under 13 through the website. If you think a child has sent us their details, tell us and we will delete them.

Changes

If we change how we use your information, we will update this page and the date at the top. Last updated: 11 October 2026.
